Information held by Ahimsa Yoga/Rachel Williamson is accessed by Rachel Williamson and by any staff working for Rachel Williamson; it may be accessed by contractors working for Rachel Williamson on a need-to-know basis…For example a teacher covering a class.
Information held by Ahimsa Yoga/Rachel Williamson:
Enquiries from non-customers – via email, our website or on the phone. Details are used to respond to the enquiry. Enquirers may be asked if they wish to receive further emails with information about my yoga classes/workshops/events. If the initial enquiry progresses no further, details may be held for up to a year in case contact is made again.
Mailing Lists – these contain a name and email address only and are populated by 1) people who are currently attending one or more of my yoga classes (so they can keep in touch with class information) 2) people who have registered on the website to hear from me or 3) people who have opted in to receive mailings even though they are not current students. Opting out of mailings can be done anytime, and details are at the bottom of each email.
Student Health/Registration forms – data collected once a student registers for a class. Forms are held securely on paper only. Electronic versions which are returned to me will be deleted after printing out. Students may update information at any time by either completing a new form or requesting the old one be updated. This information is held for 7 years for Insurance purposes.
Attendance Registers – data collected in classes. Form shows name of students only. These are used for class management and are held for 7 years for Insurance purposes.
Emails – sent from clients and non-clients. Important messages may be saved in the email filing system, or on paper if related to Health/Registration form above. Otherwise emails may be retained for up to 2 years.
Payment Data – Details of payments by cash, cheque or bank transfer are received and recorded via banking and accounting systems. Card information is not received at any time by us. Financial records are stored for at least 7 years for accounting and tax obligations.
